Frequently asked questions

How MAINTEGRATE works end to end — registration, the free trial, subscriptions and user invitations: what triggers each step, what happens and when.

How do I register?

Anyone can create a company workspace at MAINTEGRATE; you become its first administrator (owner). What happens next depends on your email address.

New company

Trigger: you register with a company name, a first site and your work email — a new domain, or a personal email.

  1. We create your company, its first site and a central team, with you as the owner and full rights.
  2. Your 1-month free trial starts automatically, with room for up to 3 users.
  3. We email you a verification link — click it to confirm your address.
  4. You are signed in straight away and land on your dashboard.
  5. Add your data, then invite colleagues whenever you are ready.

To prevent duplicate companies, a name that matches or closely resembles an existing company cannot be used with a free email provider (Gmail, Outlook, …). Use your work email, or choose a clearly different name.

Joining an existing company

Trigger: you register with an email whose domain already belongs to a company on MAINTEGRATE (for example name@yourcompany.com). Free providers such as Gmail or Outlook do not match a company, so they start a new one instead.

  1. We do not create a duplicate company — instead we file an access request for that company.
  2. The company's administrators are notified and must approve the request.
  3. Once approved, you receive an invitation email to set your password and sign in.
  4. If the company has no free seat, an administrator must add seats before they can approve.

Email verification

Verification confirms you own the address. You can use the app while unverified, but it should be confirmed promptly.

How does the free trial work?

Every new company starts with a 1-month free trial that includes up to 3 users and full access to the platform.

  1. Day 0 — the trial starts: full access, 3 seats.
  2. 3 days before it ends — we email the company administrators a reminder.
  3. Trial end — the account becomes read-only: you can still view and export everything, but cannot save changes.
  4. 7 days later (grace) — access is blocked and a screen invites you to subscribe. Your data is kept.
  5. When you subscribe at any point — read-only or blocked clears within seconds.

During the trial the limit is 3 users. To include more people, subscribe and add the seats you need.

How do subscriptions and billing work?

Subscriptions are per company and priced per user: $4.99 per user, per month (USD). FastSpring, our Merchant of Record, handles payment, tax and invoices.

Only the company owner, or a user with the User Management right, can start or change the subscription.

  1. Open My Account → Subscription.
  2. Click Start subscription — a secure FastSpring checkout opens.
  3. Pay and confirm.
  4. FastSpring notifies us automatically; your plan and seats activate within seconds.

Seats = users

The quantity you buy is how many users your company may have. To add people, add seats from Configuration → Users; the change is prorated for the current period.

Invoices

Every charge appears under My Account → Subscription → Invoices, each with a link to the official invoice.

Cancelling

The owner can cancel from the Subscription card. Cancellation takes effect at the end of the current billing period — you keep full access until then and your data stays available. You can resubscribe at any time.

How do I invite users, and how do seats work?

A company may have at most as many users as seats purchased. Seats count active users plus pending invitations.

Inviting a user

Trigger: an administrator goes to Configuration → Users → Invite User.

  1. Enter the person's name, email, site and the rights they should have.
  2. We create an inactive account and email an invitation link (valid 7 days).
  3. They open the link, set a password, and the account becomes active.
  4. If no seats are free, the invitation is blocked until you add seats.

Resend or cancel

From Configuration → Users an administrator can resend an expired invitation, or remove a pending user to free up the seat.

Access requests

Requests from people who registered with your company's email domain appear in Configuration → Users. Approve to send an invitation (a seat must be free), or reject.
